Replace or Integrate? How School Districts Should Modernize Their CMMS
School districts are often told there are only two choices for modernizing maintenance operations: replace the computerized maintenance management system (CMMS) or leave it alone.
The better answer is usually conditional.
A district with an adopted, reliable work-order system may gain more by connecting energy, controls, inspections, and asset evidence to it. A district whose staff already work around the incumbent may be better served by replacing it. Some districts should begin with integration and consolidate after proving the new workflow.
The right question is not “Is our CMMS old?” It is “Does the current system help the people who report, triage, perform, and learn from facilities work?”
Start with the workflow, not the software inventory
Before reviewing products, trace one real issue from beginning to end.
Choose a common problem such as a hot classroom, a roof leak, a failed pump, or unusual overnight energy use. Document:
- how the issue is reported;
- who decides its priority;
- how it is assigned;
- what context the technician receives;
- where notes, photos, parts, and time are recorded;
- how the requester is updated;
- how the district verifies resolution; and
- whether the result informs preventive maintenance or capital planning.
This exercise exposes the actual burden. A system may look complete in a feature list while staff still rely on email, phone calls, spreadsheets, and memory at every handoff.
When replacement is the stronger path
Replacement deserves serious consideration when several of these conditions are true:
- staff avoid the system or enter data only after the work;
- requests arrive through uncontrolled email, calls, and hallway conversations;
- mobile use is slow or incomplete;
- buildings, spaces, systems, and assets are poorly related;
- assignments by trade, route, or priority require manual coordination;
- duplicate and recurring issues are difficult to identify;
- inspections and preventive maintenance live elsewhere;
- reporting cannot explain backlog, response time, recurring failure, or asset condition;
- integrations are limited, brittle, or expensive; and
- the district is paying to maintain multiple overlapping sources of truth.
In this situation, adding an analytics layer may preserve the most frustrating part of the stack. A native work-order and asset platform can reduce fragmentation if it is designed around the district’s real intake and field workflows.
Replacement still requires discipline. Migrating every historical field can make a project slower without improving decisions. Districts should preserve the records needed for operations, compliance, warranties, asset history, and analysis, while archiving low-value clutter in a retrievable form.
When integration is the stronger path
Integration is often the better first move when:
- technicians and requesters already use the CMMS consistently;
- asset and location data are reasonably clean;
- mobile workflows fit field work;
- preventive maintenance is well established;
- the system exposes usable APIs, exports, or supported connectors;
- the main gap is diagnosis, cross-system context, or verification; and
- replacing the incumbent would create more disruption than operational value.
In this case, the goal is not another dashboard beside the CMMS. New facilities intelligence should create or update work in the existing system and receive enough closeout information to verify the result.
For example, an energy anomaly may be diagnosed using interval data, calendars, controls signals, and recent maintenance history. If a technician visit is needed, the finding should become a work order with the evidence attached. When the work closes, the result should return to the diagnostic record.
The systems can remain separate while the operating loop stays connected.
When a phased approach reduces risk
A district does not have to settle the entire architecture before starting.
A phased approach can look like this:

A phase should end with a decision, not merely more software in production.
Five technical questions that reveal integration risk
“Yes, we integrate” is not enough. Ask:
- Which objects move? Requests, work orders, statuses, assignees, assets, locations, attachments, inspections, labor, and closeout codes may not all be supported.
- Which direction does data move? One-way ticket creation is different from a synchronized workflow.
- How quickly does it move? A nightly export may work for capital reporting but not for urgent dispatch.
- How are identity and permissions handled? District authorization boundaries should not be weakened by the connector.
- What happens when the integration fails? Retries, error visibility, reconciliation, and ownership matter more than a clean demo.
These questions help districts distinguish an operational integration from a marketing checkbox.
Do not leave older schools out of the decision
CMMS modernization is sometimes bundled with a broader smart-building plan that assumes modern controls everywhere.
That can delay value.
Work orders, asset records, inspections, calendars, bills, and interval meter data can improve operations in an older school even when detailed BMS data is unavailable. Newer schools can contribute richer equipment signals and, with appropriate integration and authorization, support bounded control actions.
The operating model should accommodate both.

- hours spent reconciling systems;
- requester communication;

A modern CMMS strategy is not successful because a new database exists. It is successful when the district resolves the right work faster, gives field staff better context, and builds a more trustworthy record for the decisions that follow.
